Sejda vs Smallpdf: which one fits the way you work?
Last reviewed:
Sejda and Smallpdf are both well-made, subscription-funded PDF services, and both let you try them for free. Their personalities differ. Sejda is a favourite of people who need to edit, with an editor that can change existing text and a desktop app for offline work. Smallpdf is built for speed and polish, with a guided flow for each task and paid features such as signature requests.
Their free tiers also limit you in different ways. At the time of writing in October 2026, Sejda's pages describe hourly task limits plus caps on file size and page count for free users, while Smallpdf limits free use and encourages a Pro trial. Below we compare them side by side, give a plain verdict, and explain when our own tool, pdfdots, is the better third option.
| Feature | Sejda | Smallpdf | pdfdots |
|---|---|---|---|
| Price model | Free tier; paid passes and subscriptions | Limited free use; Pro and Team plans | Free plan; optional paid plans |
| Free limits | Tasks per hour, file size, pages | Limited tasks; upgrade prompts | Daily task limit on free plan |
| Account needed | Not for basic use | Some tasks without an account | Free account required |
| Where files are processed | Their servers; desktop app local | Their servers | Your browser for most tools; Office, PDF/A and grayscale on our server in Germany, deleted right after |
| Ads | No intrusive ads; upsell | No classic ads; upgrade prompts | None |
| Editing existing text | Strong editor, can change text | Lighter editing | Adds text, images, shapes on top |
| Apps | Desktop app; mobile-friendly site | Desktop and mobile apps | PDF Dots mobile app |
| E-sign | Signing tools | Signature requests on paid plans | Own signature, or simple sign requests from Studio |
Our verdict
Sejda wins for editing. If you need to change the wording of existing text in a PDF, its editor is one of the best on the web, and Sejda Desktop is a solid offline choice if you are willing to pay. Its free tier without sign-up also suits a quick, infrequent task.
Smallpdf wins for a smooth, guided experience and for paid signature workflows, where you send a document to others and track who signed. It also has mobile apps, which Sejda does not emphasise.
pdfdots is the better third option if you mostly merge, compress, convert, fill and sign your own documents and want them to stay on your device. Most tools run in the browser, there are no ads, and the free plan covers occasional use. For rewriting existing text, Sejda remains stronger than us.
How the free limits feel in practice
Sejda's hourly limit is easy to hit during a real job: merge a stack of invoices, compress the result, split out one page, and you may already be close. Waiting an hour is fine for some people and frustrating for others. Smallpdf's limit works differently but leads to the same place: regular use is meant to move to Pro.
We avoid quoting exact numbers because both providers adjust them. The pattern is stable, though: occasional users can stay free on either, and daily users will end up paying for one of them or looking elsewhere.
Editing: the biggest difference
If editing is your main task, this comparison is fairly clear. Sejda's editor can change existing text, replace images and work with forms in ways most web tools cannot. Smallpdf handles lighter edits and annotations well.
pdfdots works like Smallpdf here rather than Sejda. Edit PDF places new text, images and shapes on top of the page, including white boxes to cover something, and Fill PDF Form completes fillable forms. For content that must disappear completely, Redact PDF removes it rather than just hiding it.
- Rewrite existing paragraphs: Sejda
- Add a note, a date or white-out: any of the three
- Remove sensitive text for good: Redact PDF in pdfdots
Privacy and devices
On the web, both Sejda and Smallpdf upload files to process them; Sejda's desktop app is the local alternative. With pdfdots, tools such as Edit PDF, Organize PDF, Compress PDF and Sign PDF never upload the document. Only Office conversions and a few format tools use our server in Germany, and those files are deleted right after.
On a phone, Smallpdf's apps are more complete than Sejda's mobile site. The PDF Dots app for iOS and Android uses the same account as the pdfdots website, and saved files in My files are encrypted at rest.
Who should pay for which
If you would pay for one of the two, let your main task decide. Editors and people who prefer offline work get more from Sejda. People who send documents for signature, or teams that want central billing, get more from Smallpdf. If you are paying only to avoid limits on simple tasks like merging and compressing, try those tasks in a browser tool first.
Questions to ask before you pick
Before committing to either service, we suggest answering a few honest questions about your own work. The answers usually point to one of them quickly, without testing every feature.
If two of the answers below point in different directions, let the task you do most often decide, and use a free tier for the rest.
- Do you need to change the wording of text already in the PDF? Then Sejda's editor is the stronger choice; Smallpdf and pdfdots add content on top of the page.
- Do you run several tasks in a row? Sejda's hourly limit can interrupt a longer job on the free tier, so expect to wait or to pay.
- Do you send documents to other people for signature? Smallpdf's paid plans are built for that; pdfdots Studio covers occasional requests with ordered signers, reminders and an audit trail, and the free plan includes 3 requests a month.
- Do you mostly work on a phone? Smallpdf's mobile apps are more complete than Sejda's mobile site, and the PDF Dots app is a third option.
- Must the file stay on your computer? Sejda Desktop works offline, and most pdfdots tools run in the browser without an upload.
