Why we flatten forms before sending them
A filled PDF form is still a form. Anyone who opens it can click into a field and change a date, an amount or a name, and some viewers show empty fields or reset values when the form is printed. Flatten PDF solves both problems. It takes every fillable field together with the value typed into it and merges it into the page itself, so what you see becomes ordinary page content that can no longer be edited.
That is what we want before a document leaves our hands: a job application, a tax form, an order sheet or a signed agreement going to the archive. The recipient sees exactly what you filled in, on every device and printer.

Our take
We flatten PDFs right before a filled form leaves our hands: an application sent to an authority, an invoice form going to a client, or a signed agreement going into the archive.
Our habit is to keep two copies, the editable original for ourselves and the flattened one for sending. Flattening is one-way, so we would rather not need a second round of typing when a detail changes.
The pitfall: flattening here applies to form fields. Comments and sticky notes stay as they are, so if a file still has review notes, we remove them in the original program before flattening.
