Excel to PDF Converter

A PDF looks the same on every device, which makes it the safest way to share a finished Excel file, submit it to a portal or send it for printing. This converter accepts .xls, .xlsx, .ods and .csv files and turns them into a clean PDF in a few seconds, without installing Office or paying anything.

Converting office documents properly needs a full office engine, so this tool works differently from our in-browser tools. Your file is sent over an encrypted HTTPS connection to our own server in Germany (EU), converted, sent back to you and deleted immediately. It is never stored, never shared and never used for anything else. Files can be up to 10 MB on the free plan and up to 50 MB on paid plans. The conversion uses LibreOffice, a mature open-source office suite, which handles the vast majority of documents very well.

Every sheet in the workbook is converted, using the print areas and page setup saved in the file. Wide sheets may split across pages, so setting landscape orientation or fit-to-width in Excel before converting gives the neatest result. If a font used in your document isn't embedded or available on the server, a similar font is substituted, so spacing can shift slightly; embedding fonts or using common fonts avoids this. If the resulting PDF is too big, run it through Compress PDF afterwards.

The single most useful setting lives in Excel, not here: Page Layout > Scale to Fit. We set Width to 1 page and leave Height on Automatic, which keeps every column on the page and lets long sheets flow onto as many pages as they need. Add Print Titles so the header row repeats on every page, otherwise page four of a price list is just numbers without column names. If you only want part of a sheet, define a print area; everything outside it stays out of the PDF, which is also a tidy way to drop scratch calculations.

A few things surprise people when they convert an XLSX to PDF online. Formulas are not carried over, only their last calculated values, so recalculate and save before uploading. Gridlines appear only if printing them is switched on in the page setup. CSV files have no page setup at all, so they are laid out with default margins in portrait; for anything wider than a few columns, open the CSV in a spreadsheet, set landscape and save it as XLSX first. And if a workbook has twenty tabs but the recipient needs one, copy that sheet into a new file: a two-page PDF gets read, a sixty-page one rarely does.
