PDF to Excel Converter

Bank statements, invoices, price lists and reports often arrive as PDFs, but the numbers are only useful once they're in a spreadsheet. Copying a table out of a PDF usually scrambles the columns. This tool detects tables in your PDF and writes them into an Excel .xlsx file with rows and columns intact, ready to sort, filter and sum.

Detecting tables reliably needs server-side processing, so this tool works differently from our in-browser tools. Your file is sent over an encrypted HTTPS connection to our own server in Germany (EU), converted, sent back to you and deleted immediately. It is never stored, never shared and never used for anything else. Files can be up to 10 MB on the free plan and up to 50 MB on paid plans.

Each PDF page becomes its own sheet. When a table is found, its cells are placed in matching columns; when a page has no detectable table, its text lines are placed in rows so nothing is lost. Tables with merged cells or no visible lines may need a little tidying afterwards, so check totals before relying on them.

This works on PDFs that contain real text, such as files exported from accounting software or Word. A scanned PDF is only an image, so no text can be extracted from it. Run it through our OCR PDF tool first to add a text layer, then convert the result to Excel.

Our checklist after converting a bank statement or invoice PDF to Excel: first, compare the closing balance or invoice total with a SUM of the column, which catches a skipped row in seconds. Second, look for numbers stored as text, usually left-aligned with a small green triangle; Text to Columns or the VALUE function fixes them. Third, check the dates, because a statement printed as 03/04 can be read as March or April depending on your regional settings. Fourth, delete the header rows that repeat where the page breaks were.

Because every page becomes its own sheet, a 12-page statement gives you 12 tabs. To analyse it as one table, we paste the sheets underneath each other or use Power Query's Append, then sort by date. When is another approach better? If the PDF came from a bank or accounting portal, check whether that portal also offers a CSV or XLSX export: that data is exact, and no PDF to Excel converter can beat it.
