We built this weekly timesheet for employees, freelancers and contractors who need to report hours on paper or as a PDF rather than in a time-tracking app. One page covers a week: start and end times, breaks and hours for each day, totals, overtime and signatures from the worker and the manager.

It suits payroll teams that still collect signed timesheets, agencies billing a client per hour, and anyone who wants a clean record of what was worked and approved.

How to fill it in

  1. Download the fillable PDF or open it in our Fill PDF form tool.
  2. Enter your name, your manager, the week starting date and the project.
  3. Fill in start, end, break and hours for each day, with notes where needed.
  4. Add up total hours and overtime, then sign with Sign PDF.
  5. Send it for approval and save the signed copy to My files.

How to fill in the hours correctly

Write start and end in the same format all week, ideally 24-hour time (08:30, 17:15), so nobody misreads morning and afternoon. Enter unpaid breaks in the break column and subtract them in the hours column. Use decimals for hours (7.75 rather than 7:45) if your payroll system expects them; mixing both is the most common error we see.

The notes column is for anything that explains the numbers: a public holiday, sick leave, travel time, on-call hours or a task code. The project field helps when hours are billed to a client or split across budgets.

  • Add the daily hours again before writing the total; mistakes in addition are frequent.
  • Only count overtime as your contract or local law defines it, for example above 40 hours a week.
  • Fill it in daily, not from memory on Friday afternoon.

Approval and sending

Once the week is complete, sign it with our Sign PDF tool and send it to your manager, who adds a signature in the same way. If you send several weeks at once, or attach receipts for travel, combine them into one file with Merge PDF. Compress PDF keeps the attachment small if you include scans.

How long to keep timesheets

Employers in many countries must keep working-time records for a number of years, often between two and six, and freelancers may need them to back up invoices in a tax review. Keep the signed PDFs in one place; when you are signed in, My files keeps them encrypted and searchable by name. A consistent file name such as timesheet-2026-10-05-name.pdf makes them easy to find later.

Frequently asked questions

Can I use it for freelance work?

Yes. Write the client in the manager field and the project name, and attach the signed timesheet to your invoice with Merge PDF.

Does it calculate totals automatically?

No, the fields are plain text so the PDF works in any viewer. Add up the hours yourself and double-check them.

Can I fill in two weeks on one sheet?

We recommend one sheet per week. It matches most payroll cycles and keeps approvals clear.

Is an electronic signature accepted?

Most employers and clients accept a signed PDF for timesheets. If yours requires a specific system, follow their process.
