HiPDF vs Smallpdf: a fair side-by-side comparison

Last reviewed:

HiPDF and Smallpdf are both big online PDF services. They handle the usual jobs (merge, compress, convert to Word, sign) and earn money from paid plans sold on top of a free tier. The companies behind them are quite different, though. HiPDF is a Wondershare product, sold alongside Wondershare's PDFelement and Filmora. Smallpdf is run by Smallpdf AG, a Swiss company in Zürich that started in 2013 with one compression tool and also runs Sign.com.

Those roots show in the products. HiPDF leans on a very long tool list, a large set of AI features and a cheap first week. Smallpdf leans on a polished interface, its own apps on several platforms and a strong signature workflow through Sign.com. We read both companies' pricing, tool and privacy pages in October 2026 and wrote down only what we could confirm. Below we compare them point by point, say who should pick which, and explain when our own tool, pdfdots, is a reasonable third option.

One caveat before we start: pdfdots is our product, so we are not neutral. We have tried to give HiPDF and Smallpdf the same care. Where one of them clearly does something better than we do, we say so.

Our verdict

Pick HiPDF if you want the most features for the least money and you like AI tools. The Basic plan was $39.99 a year at the time of writing in October 2026, and it allows 100 MB and 2,000 pages per file with unlimited batch processing. The AI set (chat, translate, proofread, rewrite, mind maps) is wider than Smallpdf's. Just remember that the $0.99 and $1.99 first-week offers renew automatically into a yearly plan.

Pick Smallpdf if you need to send documents to other people for signature, or if you want dedicated apps. Pro includes Sign.com Premium, with unlimited signature requests, templates and a certificate of completion, and Smallpdf has its own Windows, iOS and Android apps. It is the pricier option per person, but in our view it is a more complete package for small teams, and it is run by a Swiss company under Swiss law.

Pick pdfdots if you mostly do everyday tasks on sensitive files and would rather the document never leave your device. Most of our tools, including OCR and signing, run inside the browser, and there are no ads. In return you have to create a free account, the free plan is small (3 tasks a day, 10 MB files), and we have no AI chat tools.

Pricing: a cheap first week versus a simple monthly plan

HiPDF's pricing page has three options. 7-Day Basic Access costs $0.99 for the first week, then renews automatically at $39.99 a year. 7-Day Advanced Access, marked as the most popular, costs $1.99 for the first week, then $69.99 a year, and adds Chat with PDF, AI Reader and AI Detector. A web-only Monthly AI plan costs $3.99 a month and includes 1,000 AI uses. These were the prices at the time of writing in October 2026. HiPDF also offers a 30-day money-back guarantee 'under the accepted technical circumstances', and the details are in its refund policy. One thing to watch: the low first-week price turns into a full yearly charge unless you cancel.

Smallpdf is more conventional. At the time of writing in October 2026, smallpdf.com/pricing showed Pro at USD 12 a month on monthly billing, or USD 9 a month billed as USD 108 a year. The Team plan for 2 to 19 seats cost USD 7 per seat per month on yearly billing or USD 10 on monthly billing, and Business (20+ seats) is priced through sales. Prices are shown in USD there and may be localized in your region. The 7-day Pro trial is for new customers, needs payment details and turns into a paid plan unless you cancel in time. Smallpdf's terms say amounts already paid are not refunded unless the law or the terms require it, and that an early termination fee may apply. Subscriptions bought in the iOS app have different prices from the web.

On paper, HiPDF's yearly Basic plan costs much less than Smallpdf Pro. Smallpdf Pro includes a full e-signature service, though, so the right comparison depends on whether you need that.

Free tiers: which one lets you do more without paying

HiPDF's free use is clearly defined in its FAQ: files up to 20 MB and 100 pages, and batches of up to five files. OCR, batch processing and page-range selection need a paid licence. Free AI use is limited to 50 Chat with PDF questions in total (20 pages per PDF) and 5,000 characters of AI Detector. The site is unclear about accounts: the same page that says '100% Free, No Sign Up' also shows a 'LOGIN TO FREELY USE' banner.

Smallpdf's free plan includes more than 30 tools, but most of them have a daily download limit. Smallpdf's own blog puts it at up to two tasks a day, though the pricing page gives no number, and the free file size limit is described only as 'Limited'. Moderate and Strong compression, batch compress and batch convert, editing existing text and OCR-based Office conversion are Pro only. On the plus side, some tools, such as Sign PDF and the Form Filler, work with no account at all, and a free Sign.com account lets you sign two documents a month.

If you want to know exactly what you can do for free, HiPDF publishes clearer per-file limits. For signing a single form on a borrowed laptop without signing up, Smallpdf is the easier choice.

Privacy and where your files go

Both services upload your file to their servers and process it there, which is normal for online PDF tools. HiPDF's tool pages say uploaded files are permanently deleted within 60 minutes of processing. HiPDF says it uses SSL encryption and holds ISO/IEC 27001 and SSI SECURE certifications, but it does not link the certificates. Wondershare's privacy policy says personal data is kept in the nearest of its data centres in Singapore, the US or the EU. The policy also describes marketing cookies for partner ads and the 'selling' or 'sharing' of device, network and usage data for cross-context behavioural advertising, with an opt-out link.

Smallpdf's privacy notice says uploaded files are processed by Hetzner and may be stored temporarily on EU servers. Its tool pages promise TLS encryption and deletion after one hour unless you save the file to your account. The privacy notice is less precise for visitors without an account or who are not logged in: it says Smallpdf aims to delete their files within a reasonable period after they were last opened. Smallpdf states ISO/IEC 27001 certification and GDPR, CCPA and nFADP compliance. If you accept advertising cookies, it uses the Google Click ID to build ad audiences.

pdfdots takes a different approach. Most tools run inside your browser tab, so the file never reaches us. Office conversions, PDF/A, grayscale and HTML to PDF run on our server in Nuremberg, Germany, and the file is deleted as soon as the result is returned. Files you choose to keep in My files are encrypted at rest with AES-256-GCM on servers in Germany.

Tools, OCR, AI and signing

HiPDF's toolset is very broad. It converts to and from Office formats, JPG and HTML, converts PUB to PDF and PDF to Pages, and includes redaction, form filling, templates and image tools. Its online editor can replace text and change text colour and font size. Its AI set is the biggest of the three, covering chat, rewrite, explain, translate, proofread, AI detection, mind maps and an AI agent. Signing, however, is limited to your own signature, typed, drawn or uploaded.

Smallpdf covers many conversions too, including OpenOffice, HWP, EPUB, iWork and PDF/A, plus flatten, redact and a scanner. Its standout feature is e-signing. Pro includes Sign.com Premium, with unlimited signature requests, templates, digital sealing, an activity timeline and a certificate of completion.

pdfdots has 37 tools in English. They include OCR in the browser, Sign PDF, and a send-for-signature flow in Studio with ordered signers, reminders, an audit trail and a certificate page. Each signer is invited by e-mail with a private link, and the result is a simple electronic signature, not a qualified one.

When HiPDF or Smallpdf is the better choice

We would send you to HiPDF if you need AI features such as translating or proofreading a whole PDF, regularly process large or long files on a budget, or want form filling and text editing in one low-cost yearly plan (note that some of its templates are limited to licensed PDFelement for Windows users). HiPDF is also a good fit if you already use PDFelement, since HiPDF directs desktop and mobile users there.

We would send you to Smallpdf if signature requests are a core part of your work, if your team wants a team plan for 2 to 19 seats, or if you want an offline Windows app and a well-rated iOS app (4.8 from 6.9K ratings on the App Store at the time of writing). Neither of these is something pdfdots replaces today.

Frequently asked questions

Is HiPDF cheaper than Smallpdf?

Usually, yes. At the time of writing in October 2026, HiPDF Basic renewed at $39.99 a year after a $0.99 first week, while Smallpdf Pro cost USD 108 a year or USD 12 a month. Smallpdf Pro includes Sign.com Premium for signature requests, though, and HiPDF's Sign PDF page shows no way to request signatures.

Which has the better free tier?

HiPDF publishes clear free limits (20 MB and 100 pages per file) but excludes OCR and batch processing. Smallpdf limits free use to a few tasks a day (up to two, per its blog), but some tools such as Sign PDF work with no account.

Do HiPDF and Smallpdf upload my files?

Yes, both process files on their servers. HiPDF says files are deleted within 60 minutes, and Smallpdf's tool pages say one hour unless you save the file to your account. pdfdots runs most tools in your browser instead.

Can I request signatures from other people?

With Smallpdf Pro, yes, through Sign.com Premium. HiPDF's Sign PDF only lets you sign yourself. pdfdots Studio can send documents for signature with ordered signers and an audit trail, and each signer is invited by e-mail with a private link.

Do the introductory offers renew automatically?

Yes, both do. HiPDF's $0.99 and $1.99 seven-day offers renew into yearly plans. Smallpdf's 7-day Pro trial needs payment details and turns into a paid plan unless you cancel within the trial.

Is pdfdots free?

pdfdots has a free plan with a free account: 3 tasks a day, files up to 10 MB and 100 MB of storage, with no ads. Paid plans start at $2.99 a month (Bronze) for higher limits.
